Work Order Request
Residence Life Work Orders
Include replacing broken furniture, repairing paint chips, replacing mattresses, micro-fridges (Potomac Place), replacing batteries in fire alarms and light bulbs in lamps (West Woods). If you any of these events occur, please email residence life at residencelife@shepherd.edu with a description of the work order request and images (if applicable).
Facilities Work Orders
Include toilets not flushing/leaking, shower dripping, Heating & Air conditioner units not working properly, electrical issues, anything that was secured into the ceiling/wall but fell out (examples: towel racks, shower rods, lights, etc.), or anything involving fire safety. Students may submit a work order request via Asset Essentials if a repair is needed in a residence hall. Please follow the steps listed below on how to submit a facilities work order request.
How to Login:
Your login credentials for Asset Essentials are the same as your Shepherd University username and password. Once you log in the first time, the system automatically gives you requestor privileges if you have a shepherd.edu email address. It will not work with other email addresses.
Steps for Submitting a Facilities Work Order:
- Log in to Asset Essentials using your Shepherd University credentials.
- Click to select the specific site and location for your request. Using the text box, identify the specific area/room number for the request.
- In the “Work Requested” box, define your request and include any relevant information that will help the maintenance team. Be as descriptive as possible.
- If there are any pictures or documents associated with the request, you can add them in the documents/image section of the request page. These can be added by clicking on the “Add Attachment” button or dragging and dropping the file in the box.
- Once all the information has been entered, click “SUBMIT” to save and enter your request.

Critcal or Emergency Requests
If you feel this is a critical request or emergent need, please call the Residence Life office at (304) 876-5172 for maintenance requests during normal business hours: Monday-Friday from 8:00am-4:30pm Examples of critical requests include a substantial leak, sewer backing up, smoke or excessive heat from electrical units, no power, and no water. For critical requests after business hours or on weekends, please contact your Resident Assistant (RA) to report the concern. Repairs may not be made by anyone other than authorized University personnel.
